Refund Policy

Clear guidelines for refunds, cancellations, and course transfers.

1. Overview

QA Assessor is committed to providing excellent training services and ensuring customer satisfaction. This Refund Policy outlines the terms and conditions for refunds, cancellations, course transfers, and substitutions for our training programs. All refund requests must be submitted in writing to info@qaassessor.com.

Please note that refund eligibility depends on when the cancellation is made relative to the course start date. Participants are encouraged to review this policy carefully before registering for any course.

2. Cancellation Timeframes and Refund Amounts

The following refund schedule applies based on the timing of your cancellation request:

More than 14 Days Before Course Start

  • Full refund minus 10% administrative processing fee
  • Refund will be processed within 10-14 business days
  • Alternatively, full credit towards a future course (less 5% administration fee) with no expiration

7–14 Days Before Course Start

  • 50% refund of course fee
  • Refund will be processed within 10-14 business days
  • Or, 70% course credit towards a future course with no expiration

Less than 7 Days Before Course Start

  • No refund
  • However, you may transfer your registration to another scheduled course in the same year at no additional charge (see Section 3)

No-Shows (Did Not Attend)

  • No refund is issued
  • Exception: If you contact us within 24 hours of the course start with a documented emergency, we may offer a one-time grace period for course transfer or 50% credit

3. Course Transfers

Participants who need to change their course date may transfer their registration to another available course as follows:

  • Transfer requests must be submitted in writing at least 7 days before the originally registered course start date.
  • Transfers are subject to space availability in the requested course.
  • If the new course has a higher fee, the participant must pay the difference.
  • If the new course has a lower fee, the participant may request a refund of the difference less any applicable administrative fees.
  • Unlimited transfers are permitted within the same calendar year (January to December).
  • Transfers to courses in the following calendar year are permitted, but are treated as new registrations.
  • A transfer fee of 5% of the course fee may apply if the transfer is requested within 14 days of the original course date.

4. Course Substitutions

A registered participant may substitute another qualified individual to attend the course in their place as follows:

  • Substitution requests must be made at least 7 days before the course start date.
  • The substitute participant must provide valid identification and complete any required pre-course registration.
  • No additional fees apply for substitutions made 7 days or more before the course start date.
  • A substitution fee of 5% of the course fee applies if requested less than 7 days before the course start date.
  • Substitutions must be the same course level; upgrades or downgrades require a new registration and may incur additional fees.
  • The original registrant must notify QA Assessor in writing of the substitution to ensure proper certificate issuance.

5. Cancellation or Rescheduling by QA Assessor

QA Assessor reserves the right to cancel or reschedule courses under the following circumstances:

  • Insufficient Enrollment: If a course does not meet the minimum participant requirement, the Company may cancel the course with at least 14 days' notice.
  • Trainer Unavailability: If a certified trainer becomes unavailable due to illness or emergency, the Company will attempt to reschedule the course.
  • Unforeseen Circumstances: In the event of natural disasters, government restrictions, or other force majeure events, courses may be postponed or cancelled.
  • Venue Issues: If the training venue becomes unavailable, courses may be rescheduled to an alternative location or online format.

In the event of cancellation by QA Assessor, participants will be offered:

  • A full refund of all fees paid, or
  • Transfer to the next available course date at no additional charge, or
  • A credit towards a future course with one year validity

6. How to Request a Refund or Cancellation

To request a refund or cancellation, please follow these steps:

  1. Email your cancellation request to info@qaassessor.com with the subject line "Course Cancellation Request"
  2. Include the following information in your email:
    • Your full name and registration email address
    • The course name and scheduled start date
    • Your refund or transfer preference
    • The reason for cancellation (optional but helpful)
  3. Our team will confirm receipt of your request within 2 business days
  4. Refunds will be processed within 10-14 business days using the original payment method
  5. You will receive a confirmation email when your refund has been processed

7. Refund Processing Time

Refunds are typically processed within 10-14 business days from the date of the cancellation request approval. The time required for the refund to appear in your account depends on your payment method and financial institution:

  • Credit Card: 5-10 business days
  • Bank Transfer: 5-7 business days
  • Digital Wallets: 3-5 business days

Please note that QA Assessor processes refunds in a timely manner, but we are not responsible for delays caused by your financial institution. If you do not see your refund within the expected timeframe, please contact your bank or payment provider.
