Refund and Cancellation Policy

1. Purpose of this Policy

This Policy applies to individual learners and corporate clients who book or purchase training, exams or related services from QA Assessor.

It should be read together with our Terms and Conditions and any course‑specific joining instructions or proposals that may contain additional or more detailed rules.

2. General Principles

We aim to be fair and transparent while covering the genuine costs of planning, trainer time and reserved course places.

  • All cancellation, transfer or refund requests must be made in writing (for example, by email to our official contact address).
  • Refunds, where applicable, will normally be processed using the original payment method.
  • Nothing in this Policy affects any non‑excludable statutory rights you may have under applicable UK or Indian consumer laws.

3. Cancellations by Learners (Individuals)
3.1 Before Course or Exam Start

If you cancel your confirmed booking before the course or exam start date, any refund or fee will depend on the notice you give and any specific rules stated on the course page or joining instructions.

As a general guideline (unless different terms are specified for a particular course):

  • More than 14 calendar days before the start date: eligible for a refund, subject to any reasonable administration or material costs.
  • Between 7 and 14 calendar days before the start date: partial refund and/or free transfer to a later date may be offered at our discretion.
  • Less than 7 calendar days before the start date or after the course has started: normally no refund, although a transfer to a future course may be considered at our discretion.

The exact percentages and conditions for your specific course will be clearly communicated in advance where applicable.

3.2 After Accessing Online Content or Attending Sessions

Where a course includes online content, self‑study materials or live sessions, your ability to receive a refund may be reduced once you have:

  • Accessed a substantial portion of the online content
  • Attended one or more live sessions
  • Sat for an exam or assessment

In such cases, we may offer only a partial refund, credit or transfer option, or no refund at all, depending on how much of the Service has already been delivered.

Once you have logged in to the LMS course, no refund will be provided.

3.3 Non‑Attendance

If you do not attend the course or exam and have not notified us in writing within the applicable cancellation period, this will normally be treated as non‑attendance and no refund will be given.

At our discretion, we may offer a transfer to a later date, which may be subject to an additional fee.

4. Cancellations and Changes by Corporate Clients

For corporate or group bookings, cancellation, rescheduling and refund terms may differ and will normally be set out in the written proposal, quotation or contract agreed with the organisation.

Those specific terms will take precedence over this general Policy. They may address:

  • Minimum notice periods for cancellation or rescheduling without additional fees
  • Short‑notice cancellations incurring a percentage of the agreed fee
  • Substitution of delegates from the same organisation, provided they meet the course prerequisites

5. Rescheduling and Transfers
5.1 Requests by Learners

Where possible, instead of cancelling you may request to move to another available course date. We will consider such requests on a case‑by‑case basis, taking into account notice periods and capacity.

  • We may allow one transfer free of charge if sufficient notice is given.
  • Late changes or multiple reschedules may be subject to a reasonable transfer fee.
  • We may decline a transfer where notice is extremely short or where places are limited.
5.2 Changes Initiated by QA Assessor

If we must cancel or significantly reschedule a course or exam (for example due to trainer illness, low enrolment or technical issues), you will be offered:

  • A place on an alternative date or equivalent course, or
  • A refund of the fees paid for the affected course or exam, unless an alternative arrangement is mutually agreed.

Our total liability in such cases will be limited to the amount of fees actually paid by you for the affected service.

6. Examination Fees and Retakes

Exam fees are non‑refundable once you have been registered for a specific exam slot or/and have accessed the exam portal.

If you do not pass an exam, any retake options, conditions and associated fees will be detailed in the exam instructions or course information.

If an exam is cancelled on our side, we will arrange a new exam date at no additional exam fee to you.

A maximum of two attempts is allowed for the examination. If you fail the first attempt, you may retake the exam by notifying us and scheduling it within 60 days of the original exam date, ensuring a minimum gap of 14 days between attempts. If you fail the second attempt, you will be required to pay the full examination fee to register for any further attempt.

7. Refund Process

Where a refund is approved under this Policy or under course‑specific terms:

  • We aim to process the refund within a reasonable timeframe (within 45 business days), subject to payment provider processing times.
  • Refunds will normally be made using the original payment method (e.g. Wise, PayPal, bank transfer).
  • We are not responsible for delays caused by banks, payment gateways or other intermediaries outside our control.

8. Technical Issues and Access Problems

If you experience technical issues that prevent you from joining a live online session or accessing course content, you should contact us as soon as possible and provide details (such as screenshots or error messages).

  • If the issue is on our side or with our platforms, we will try to reschedule or provide alternative access without extra charges.
  • If the issue is related to your device, internet connection or local settings, this will not usually qualify for a refund, but we may offer alternative support or options at our discretion.

9. Force Majeure

If a course or exam cannot proceed as planned due to events beyond our reasonable control (such as natural disasters, major platform outages, strikes, or government restrictions), we may:

  • Reschedule the course or exam to a later date, or
  • Move to an alternative delivery method (for example, a different online platform or format).

In such circumstances, refunds may be limited to situations where we are unable to offer a reasonable alternative.

10. How to Request a Cancellation, Transfer or Refund

To request a cancellation, transfer or refund, please contact us in writing via our official email address.

  • Include your full name, course name, planned dates, payment reference and a brief explanation of your request.
  • We may ask for additional information to verify your identity and fairly assess your request in line with this Policy and any course‑specific terms.

We will respond as soon as reasonably practicable and explain the options available based on this Policy and the details of your booking.
